The YMCA of Pierce and Kitsap Counties is seeking a
Data Entry Specialist to join our team.

Bring your attention to detail and love of organization to our team! As a Data Entry Specialist, you'll process and record gifts received through mail, online, and in-person each day. If hired for this role, you will help ensure our donors feel appreciated by preparing and sending personalized acknowledgement letters that reflect the Y's commitment to gratitude and community. Additionally, you'll keep our donor database up to date by maintaining accurate biographical information for all donors and prospects.
Key Responsibilities: - Accurately enter all donations (checks, credit cards, online, recurring, stock, matching gifts, etc.) into the donor database on a daily/weekly basis.
- Process recurring gifts, pledges, pledge payments, and tribute gifts.
- Generate and mail/email timely acknowledgment letters, receipts, and tribute notifications.
- Work with Financial Development team to personalize acknowledgments where appropriate.
- Maintain and update donor records, contact information, giving history, and engagement notes.
- Merge duplicate records and ensure data is consistent and up to organizational standards.
- Assist with data hygiene projects and contribute to ongoing data integrity efforts.
- Respond to donor inquiries regarding donations, receipts, or history.
- Collaborate with Development, Events, and Communications staff to support fundraising campaigns and events.
- Assist with bulk data imports/exports as needed (e.g., event attendees, campaign responses).
Qualifications: - Previous database entry experience strongly preferred. Raiser's Edge experience desired.
- Working knowledge of computers, office equipment, and cash handling.
- Advanced Excel and Microsoft experience strongly preferred.
- Demonstrated skills in customer service, public relations, and organization.
- Ability to connect with people of diverse backgrounds.
- Excellent written and oral communication skills.
- Ability to work both independently and as part of a team.
- The ability to demonstrate a friendly, courteous and professional manner while working with members and staff and the ability to understand, articulate, and enforce YMCA policies and procedures in a positive way.
- Must be able to pass Background and Reference checks (in accordance with the WA State Fair Chance Act).

- Able and willing to complete online Child Abuse Prevention training on first day, and other online and in-person training as required.
Wage: $18.20 to $19.20 per hour, depending on qualifications
Hours: Part-Time, Up to 25 hours per week

Position Summary Perform daily data entry of gifts received through postal service, interoffice mail, online and in person. Create and mail daily gift acknowledgement letters in accordance with the Y's standard acknowledgement practice. Update biographical information on all donors and prospects. Represent the YMCA and self in a professional manner of safety and fun. Provides a quality experience focused on YMCA core values: honesty, respect, responsibility, and caring.
Key Responsibilities • Sort and process daily gift batches of donations and payments into the Raiser's Edge database.
• Analyze gifts to determine appropriate campaigns, funds, appeals and solicitor for each gift to be processed accurately.
• Prepare daily gift deposits.
• Produce daily gift receipts and individualized acknowledgement letters in accordance with YMCA of Pierce and Kitsap Counties 48-hour turn-around acknowledgement policy.
• Organize, coordinate and maintain the integrity of a hardcopy and electronic filing system for all gift entry related backup, including copies of contributions, gift backup, acknowledgement letters, batch posting reports and/or other gift entry control reports.
• Assist in maintaining the integrity of biographical and other prospect information in Raiser's Edge. Add new constituent records to the database as needed. Analyze information and populate appropriate data fields where information is available.
• Follow all gift processing policies and procedures and alert Executive Director of Philanthropy of discrepancies.
• Assist with event attendee management.
• Update association dashboards daily.
• Create mailing and email lists as requested.
• Answer questions from staff regarding donors and gifts, and respond to inquiries from staff within 24 hours.
• Assist with Association Special Events as needed
• Meet performance measurement through annual giving, major gifts, and/or endowment by telling the Y story and raising charitable dollars to fulfill our mission.

Working Conditions/Physical Demands • Regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
